Automate agent deductions without the spreadsheet
Running an agent network means managing dozens of financial streams per person: advances to repay, SaaS fees, equipment costs, wireless charges. Most ISO operators track these manually, spreadsheet by spreadsheet, month by month. VEXIS now automates it. Recurring deductions on agent profiles let you set a schedule once, then let the system apply fees monthly, quarterly, or annually without touching it again.
The spreadsheet problem at scale
Every month, an ISO's accounting team faces the same manual grind: pull the residual ledger, check which agents owe advance repayments, apply SaaS fees, deduct equipment costs, note wireless charges, and do it all again next month without making a mistake or applying the same fee twice. If you have 50 agents, that is 50 lines of logic to repeat 12 times a year. If an agent questions why a deduction hit their account, you dig back through email or a note somebody made in a shared doc. There is no audit trail. Compliance questions become a research project.
The real cost is not the time spent on the spreadsheet. It is the mistakes that slip through: duplicate deductions, forgotten start dates, advance balances that never actually decline because the math got entered wrong. Each one is a conversation with an agent that should have never happened.
Recurring deductions: set once, run forever
VEXIS now lets Accounting and Executive Directors set up recurring deductions directly on an agent profile. You define the deduction type (SaaS fee, advance repayment, equipment cost, wireless service), the dollar amount, and the frequency (monthly, quarterly, or annual). Set a start date, and the system applies it on schedule without duplication. If an agent has an advance to repay, assign a recurring deduction tied to that specific advance, and VEXIS automatically reduces the remaining balance each period until it hits zero. No manual intervention. No spreadsheet.
Every change is logged. Accounting and Executive Directors can see the full history of who added, modified, or removed a deduction and when. When an agent asks why a charge hit their residual account, you open the audit log and answer in seconds. That transparency also means fewer disputes: agents see the system is consistent, not arbitrary.
Built into the workflow, not bolted on
Because recurring deductions live inside your agent hierarchy, they integrate directly with the residuals and commissions that feed your business. The system checks that an agent meets the minimum residual threshold before applying deductions, so you never claw back from an agent with nothing to claw from. Deductions apply automatically on their scheduled date; Accounting sees the active deductions listed so they can answer agent questions without digging. And because this is VEXIS built-for-your-team-first, it shipped with the same audit and transparency standards that secure money in the rest of the platform.
For ISO operators, this means one thing: your accounting team gets their month back. Advances repay themselves. Fees apply on schedule. Disputes shrink. That is the math.
